Nothing is charged to an account until its fiscal officer approves it, so saving one here starts a conversation rather than a charge.

Checked against the KFS chart of accounts as you type. Campus accounts are two letters then five digits, like AB12345. Medical Center accounts are seven digits. Ask your fiscal officer whether you also need SubAccount, Project or OrgRefID: some departments use them routinely and others never do.

How does the monthly recharge work?

Your balance for the current period is posted to KFS using the account number above. You can change the account number any time.

What am I being charged for?

The AI models you used. OIT pays the providers for everyone's usage, and Ante recovers your share to the account you nominate, plus a 3% service cost for running the billing. ZotGPT itself is free: this is not a charge for ZotGPT.

Why is my total higher than the raw model cost?

The balance is the model cost plus a 3% service cost, which covers running the monthly recharge: preparing the billing file, reconciling it with KFS, and keeping account details current.

It is set to recover the staff time the service actually takes, using the same method OIT uses for its other software recharges, and it is reviewed against real effort rather than fixed for good, so it can go down as well as up. Your balance above shows both parts separately, so you can always see which is which.

Can I set a spending limit?

You can set a monthly threshold above, and we will tell you when you approach it and when you pass it. It is a heads up, not a cap: nothing is ever blocked and your work carries on. Your fiscal officer can set one for you as well, and if they do, you will see the amount and their name here.

Who sees this, and who do I talk to?

The fiscal officer for the account you nominate can see what is charged to it, and so can the OIT business office. For a question about a charge, start with your fiscal officer, since they hold the account. For anything about the portal itself, contact the OIT Help Desk.
